Payment will be sent to your institution in August of the first year of your scholarship. The checks are sent directly from The University of California, San Francisco (home of the Pew program office) to your financial administrator. Your institution will receive a formal grant agreement from UCSF in July of the same year. Can I begin expending Pew funds now? NO. July 1 is the start date of your Pew Scholarship. No funds may be encumbered before this date. It is the Pew Scholars responsibility to monitor the administrative process of the account at the sponsoring institution and ensure that the initial check has been received and the Pew account is set up properly prior to utilizing any of the funds. Interest accumulated is required to remain in the Pew account for the Scholars use as deemed will best serve the Scholars research program. Interest accrued must be accounted for in annual financial reports. What kind of reports is the Scholar responsible for? Two reports are required to be submitted annually on June 15th of the first year of the grant continuing until the close of the award. The Scholar is responsible for timely submission of a narrative progress report on the scientific research and a financial report of expenditures for the previous year. The financial report must be prepared and signed by a financial officer of the sponsoring institution. It is the Scholars responsibility to ensure accuracy and timely submission of both these reports. In addition, the program office will request information from the Scholar annually for the program website and to provide required updates to The Pew Charitable Trusts on your career and scientific activity. What limitations are put on the Pew funds? The Scholars personal salary and fringe may not exceed $10,000 a year. Indirect Costs claimed by the sponsoring institution may not exceed 8% of the annual expenditures. The funds must be placed in an interest-bearing account and all interest accrued rolled into the Scholars account. The Scholar may carry over funds from year to year if they are not expended. A maximum of $100,000 may be carried over in any given year. Any amount over that must be explained in the narrative report. All equipment and supplies purchased solely with Pew funds are the property of the Pew Scholar and are to be transferred with the Pew Scholar should s/he relocate to a new institution. In what activities/meetings will the Scholar be involved? A highlight of the Pew Scholars Program is the annual meeting of all Scholars, Advisory Committee members and representatives of the Pew Charitable Trusts. Incoming new Scholars and fourth year "graduating" Scholars are asked to make a 10 minute brief presentation on their research. The meeting takes place in March, and each Scholar is expected to attend the meeting every year of the four- year term. In the fall, each Scholar will be asked to provide an abstract to be included in the meeting booklet. Who do I contact with concerns or questions? All communications, questions or concerns should be directed to Silvia Montano de Jiménez at the Program Office at (415) 476-5116 or montano@thecenter.ucsf.edu. The Program is administered at The University of California, San Francisco with a grant from The Pew Charitable Trusts. More information about The Pew Charitable Trusts can be found at www.pewtrusts.org.
